Process for Archiving SharePoint Files to the Q Drive

Steps to Archive Files

Identify the Current Location of the Folders on SharePoint: Locate the folders that need to be archived on SharePoint.
Move the Folders to the Archives on the Q Drive: For larger files connect to an on premise server or contact IT to perform the move. For smaller files downloading the files to Q is reasonable. For larger files you will want to use our RoboCopy script..
- Use notepad to modify the file locations in single quotes. The first set of quotes is where you are copying from, the second set of quotes is the location you are copying too. (single quotes need to stay in place or script won't run).
- Open Power shell - paste script and run
- When it finishes it will tell you if there were any errors.
- Once you have confirmed that the files were moved you can delete the SharePoint folder.

Delete the Original Folders from SharePoint: Once the folders have been successfully moved to the Q drive, delete the original folders from SharePoint to avoid duplication.
Verify the New Location of the Folders on the Q Drive: Ensure that the number of files/folders in SharePoint match the number of files/folders on the Q drive/Archives post move
Confirm Successful Archiving of the Projects: Double-check that all necessary files have been archived and are accessible in their new location on the Q drive.
